Graduation procedure for double diploma students

Registering for the Examination Committee AI&ES meetings

In order to graduate from your master program, you need to request the EC AI&ES to determine whether you have completed your master exam program and are eligible for your master's degree (diploma application). Such request is called diploma application and it is done via Osiris Student by clicking on 'Progress' and then 'Status: Request graduation'. Make sure to submit your diploma application at least four weeks before the final EC AI&ES meeting scheduled in August

Examination Committee AI&ES meetings

Every month (except July) there is an EC AI&ES meeting. Your diploma application will be discussed during the EC AI&ES meeting without you being present. 

Deadline to diploma application (request graduation) for EC AI&ES meeting

The deadline to submit diploma application via Osiris Student is 4 weeks (28 working days) prior to the EC AI&ES meeting. Registration always refers to the first upcoming EC AI&ES meeting. If you register after the deadline, your diploma application will be postponed for  the next EC AI&ES meeting. Please check the deadlines to register for the EC AI&ES meetings in the table above. 

Required steps to complete before the EC AI&ES meeting

At least 10 working days before the EC AI&ES meeting you intend to graduate, the following steps have to be completed.

1. Approved program of examinations (study program) 
Please check whether your program of examinations has been approved by the EC AI&ES. Should you have changed your program of examinations and submitted a changed one to the EC AI&ES, this must have been approved as well. Without a program of examinations approved by the EC AI&ES your diploma application will be rejected. 

2. Grades processed in Osiris
Please check that all courses in your program of examinations approved by the EC AI&ES are completed and all results are registered in Osiris. 

3. Documents needed to graduate 

  •  Thesis, including the mandatory title page Graduation thesis AI&ES
    * If the confidentiality applies, you have to submit, in addition to the thesis, a public summary or a public version of the thesis.  
  • The signed TU/e code of scientific conduct for the Master’s thesis. 
  • Assessment form Graduation project AI&ES which will be sent to CSA EE by the chair of your thesis committee after your final presentation and defense. 

Should you not have completed the three steps from above 10 working days prior to the EC AI&ES meeting you intend to graduate, your diploma application will be rejected and postponed to the next EC AI&ES meeting. 

After the EC AI&ES meeting

You will receive an e-mail with the decision of the EC AI&ES approving or rejecting your diploma graduation. The EC AI&ES decision will be visible in Osiris 3 working days after the EC AI&ES meeting. If your diploma application is rejected, it will be postponed to the next EC AI&ES meeting. 
If you need proof of your diploma before the graduation ceremony, you can request a certificate of achievement from ESA central after the EC AI&ES decision is visible in Osiris. You can download an extract of your diploma 3 working days after the EC AI&ES decision is visible in Osiris via DUO. The extract is a valid proof of your diploma. 
Please note that your graduation date on your diploma is always the date of your final exam program activity, not the date of the EC AI&ES meeting. 

Terminating your TU/e enrollment

When all results of your exam program are registered in Osiris and you have registered for the EC AI&ES meeting, you can terminate your enrollment from TU/e. Your enrollment will not be terminated automatically during the academic year. In order to terminate your enrollment before August 31 and receive a refund of your tuition fee, you must submit a request to that effect. The refund does not apply to the months of July and August.

Graduation ceremony

In the table above you can find the date of your graduation ceremony (when available). Save the dates in your agenda!

Approximately one month before the graduation ceremony, you will receive an invitation via e-mail from the CSA EE. During the ceremony, you (as well as your fellow master graduates) receive your diploma in a public ceremony. After the ceremony, you and your guests are invited for drinks. 
Should you prefer not to attend the graduation ceremony, you can collect your diploma after the graduation ceremony took place. Please contact the CSA EE to make an appointment to pick up your diploma at the CSA EE office.
